Under GDPR new regulations which applies to all organisations which process and control customers/clients data.

GDPR regulations aim is that any company which store/process data must have certain internal procedures to avoid data being miss used and gave an opportunity for clients and customers to enquire about how their data has been used, e.g companies must need to get consent before sharing clients/customers data.

As an Accountancy Practice firm it’s our prime obligation to abide by the GDPR regulations as became law from 25th of May 2018, our course of business works as directly enquire personal and business related data from our clients is limited to:

Clients personal ID
Contact Details (Addresses & Telephone Numbers)
Clients self employment documents (Bank Statements, Invoices)
Clients Business related documents (Bank Statements, Invoices)
Clients Employees information for payroll purpose only (Employees ID copies are mainly kept and handled by Clients)

To comply with GDPR(European General Data Protection Regulation), Prologic Accountancy Services Ltd publishing our privacy policy and this described as how we handle and control our clients personal and business related data.

Data Collections:

As a practice firm, we receive personal data directly from our clients, and from clients previous Accountant’s and we also provide professional clearance to clients Accountant’s upon receiving letter of consent. We don’t receive any personal information from third parties apart from what has mentioned.

Keeping Clients Information:

We keep our clients personal data as long as, we are providing service and as soon as we receive letter of consent from our clients to release all information to another Accountant for service transfer, and we only proceed with this once we have letter of authority from another Accountant received by our client.

We keep clients personal data which includes ID’s , and personal and business record as to comply with AML(Anti Money Laundering) regulations, our standard practice licence and government authority for information. We return most of the data record clients periodically for them to file for their record and personal information remain with us. We keep clients data for 6 years for audit and any outstanding HMRC investigations.

Sharing Data:

Our firm Prologic Accountancy Services Ltd will never share our client’s data with third party in any form as its against our standard practice, we only share data upon consent of the client to share personal and financial information with third parties(e.g Banks, Mortgage brokers etc) unless if we are obliged to do so by the government authorities.

Rights to Destroy/Erase Data:

If our clients feel that we are should no longer keep data. Our clients will be required to send us written consent to destroy and delete data, and can enquire why data has not been deleted and destroyed. We will than reply with information we hold on our system e.g in case of ongoing investigation by the authorities we may keep the data. All other data will be erased and deleted without client’s enquiry in the due course unless specifically requested.

Information Technology:

We store data on our computer system which is not shared with anyone in another location apart from our own office; we file client’s accounts and tax via internet. We always update our ant viruses’ software’s and system upgrades to ensure that our client’s data is kept safe.
